An Introduction to Open Conference Systems

Open Conference Systems is a research and development initiative of the Public Knowledge Project at the University of British Columbia. Its continuing development is currently overseen by a partnership among UBC's Public Knowledge Project, the Canadian Center for Studies in Publishing, and the Simon Fraser University Library.  Open Conference Systems (OCS) is an open source solution to managing and publishing scholarly conferences online. It is designed to be a complete, multiple conference management system, including a full peer review component.


Open Conference Systems (OCS) is an open-source web-publishing software for the management of scientific conferences, created thanks to funding form the Canadian Government by a consortium named Public Knowledge Project. It is a complete system for the management of all aspects of a scientific conference, from the publication of a dedicated website with the possibility of choosing and customizing the graphic aspects, over the management of workflow of articles, up to the management of enrolments with manual or online payment. OCS is suitable for universities and research institutes that use internal staff for the organization and management of scientific conferences. It provides the functionality of managing all aspects of a scientific conference that includes online submission, the management of the reviewing process and the publishing in PDF format of articles according to the standards of the Open Access  Initiative. The enrolment management allows to collect online both applications to become authors and registrations to attend a conference. Also it is possible to collect the payment of the registration fees online. Users of the website can also be created directly by the operators of the website and these can be sent various communications (call for papers, deadlines for submissions, approval or rejection notifications, etc.) using predefined and customizable message templates. Particular attention has been paid to the content management of the information about the congress, such as the location, the list of sessions, the event programmes, the scientific committee, the instructions on the template for drafting articles. All this information can be entered through simple editing tools and is published on the website without the intervention of specialized editors. It has been designed to reduce the time and energy devoted to the clerical and managerial tasks associated with managing a conference, while improving the record-keeping and efficiency of editorial processes.
